How your information is handled

This draft notice explains how the portal works technically. It does not replace COBCO’s final legal notice.

Draft text — COBCO approval required

Purpose and access

Information is used only to receive, review and handle ethics alerts and grievances. Access is restricted to authorized people.

Anonymity

Strict anonymous mode asks for no name or contact details. If you wish to remain anonymous, avoid including identifying details in your description or files.

No application storage

The portal creates no case database, stores nothing in browser storage and does not retain files after email transmission.

Technical data

Technical logs are limited to the reference, date, case type, sending status and a non-sensitive error code where needed.

Retention and rights

Mailbox retention, the data controller’s identity and procedures for exercising rights must be approved and published by COBCO before production.
